Pactlume and your agency
Pactlume is provided by Julian Neil, operating Pactlume in El Paso, Texas, United States. In these terms, “we” means Julian Neil and “you” means the agency using the service and the people acting for it. Our official contact is [email protected].
Pactlume helps agencies organize invoices, record payments and blockers, coordinate their team, and prepare follow-up drafts. The current pilot is for businesses based in the United States. The person enrolling an agency or starting its subscription must be authorized to act for it.
Accounts and workspace access
The pilot uses assisted onboarding. We create your agency workspace, and its administrators manage the people allowed to join it. Signing in verifies your email address; it does not by itself grant access to an agency or let you create another workspace.
Use your own authorized sign-in account, protect your email inbox and sign-in links, and tell us promptly if you suspect unauthorized access. Administrators must keep membership and the designated agency contact current and remove access when it is no longer appropriate.
Each subscription covers one agency workspace. Members of that agency share its information according to their role. Agency chat is a group conversation visible to current members, including people added later; it is not a private direct-message service. Removing a member does not erase messages or records they already created.
Your records and communications
You retain your rights in the information you submit. You authorize us to store, process, display, and export it as needed to provide the service, support your agency, protect the system, and carry out the Privacy and Data retention policies. You are responsible for having permission to provide your clients’ and teammates’ information.
Keep invoice amounts, payment records, assignments, and contact information accurate. Recording a payment in Pactlume does not transfer money or verify a bank receipt. Check your bank or accounting records before treating an invoice as paid.
Follow-up drafts use templates and the workspace information available when they are prepared. Review the amount, recipient, wording, and supporting details before sending a draft from your own email service. Approving or downloading a draft does not send it or establish delivery. Pactlume does not promise collection of an invoice or provide accounting, legal, or debt-collection advice.
Price and monthly renewal
The Pactlume Agency plan costs USD 49 per agency workspace per month. The amount, billing frequency, and any applicable taxes we collect are shown before you confirm payment in Stripe Checkout. Do not complete payment if the displayed offer does not match what you expect; contact us for help.
A paid subscription starts when your initial payment is confirmed. By completing the subscription purchase, you authorize the disclosed recurring monthly charges until you cancel. Stripe processes the subscription payment and provides billing documents. Billing shows the subscription status, invoices, and available renewal information.
The subscription is separate from your clients’ invoice payments. Entering a payment in Pactlume, changing an invoice status, or changing an administrative subscription record does not collect money. We will disclose a subscription price change before it applies to a future renewal so you can cancel before that charge.
Your 14-day trial
Your free trial lasts 14 days from the time we create your agency workspace in Trial status. It does not start at your first sign-in. Billing displays the trial deadline. Creating a trial does not charge a card, and the trial does not automatically become a paid subscription.
An agency administrator can choose to subscribe before the trial ends. The separate early-start checkbox confirms that a successful payment will end the remaining free trial and begin paid access immediately.
When an unpaid trial expires, normal workspace access is paused. Agency administrators can still open Billing, start an available subscription, export eligible workspace data, and contact support. Members retain support access. Trial expiry does not delete your records or begin the 90-day closure process.
Cancellation and failed payments
An agency administrator can cancel through Billing → Manage billing in the Stripe customer portal. Cancellation takes effect at the end of the current paid period, and normal access continues until then unless a separate billing or support restriction applies. Cancel before the next renewal to avoid that charge. If you cannot use the portal, email [email protected] from your administrator sign-in address and identify the agency you want to cancel.
A confirmed failed renewal pauses normal workspace access without an additional grace period. Administrators retain Billing and export controls so they can update payment details, resolve the unpaid invoice, or download their records. Stripe may retry an unpaid charge according to the billing arrangements shown in the portal. Confirmed payment restores access unless a separate support suspension remains.
A failed payment or billing pause alone does not start deletion. If the subscription subsequently ends, including effective cancellation following failed collection, the 90-day closure period starts at that effective end. Canceling future renewals does not erase an already-issued unpaid invoice or automatically issue a refund.
Refunds and billing errors
Your agency’s first successful subscription payment is refundable if an agency administrator requests the refund within 14 calendar days of that payment. Send the request to [email protected] from your administrator sign-in address and include the agency name and invoice reference. This first-payment offer does not restart with a later renewal or a resubscription for the same agency.
After that first-payment window, subscription payments, including renewals and unused portions of a billing period, are nonrefundable except for billing errors or refunds required by applicable law. We correct duplicate or incorrect charges and honor any refund rights that the law requires.
Refund requests are handled by support rather than automatically through the workspace. We verify the request and confirm the outcome by email. Requesting a refund does not by itself stop future renewals; cancel through Billing or ask us to cancel when you request the refund.
Use the service responsibly
Use Pactlume only for lawful agency work and information you are authorized to handle.
- Do not access another agency’s information, impersonate another person, share sign-in links, or bypass membership and billing restrictions.
- Do not upload malicious content, disrupt the service, abuse its request limits, or use it to organize unlawful, threatening, or deceptive communications.
- Do not place passwords, full payment-card numbers, bank login credentials, or sensitive personal information unrelated to invoice coordination in invoices, notes, chat, document links, or support requests.
- Keep your own necessary business records and protect any exports you download or share.
Access restrictions and resolving problems
Normal workspace access can be restricted when the trial expires, a subscription ends, or billing becomes overdue. Agency administrators retain the available Billing and export controls, and signed-in users can contact support. Members do not gain administrator billing or export rights while access is restricted.
We may separately suspend access when reasonably needed to investigate misuse, unauthorized access, a security issue, or a legal obligation. We will provide a contact route for resolving the issue and explain the reason where doing so is lawful and would not compromise an investigation or security. Paying a subscription does not automatically remove a separate support suspension.
Closure, exports, and deletion
Effective subscription cancellation or a verified permanent workspace closure begins the 90-day operational retention period described in the Data retention policy. Scheduling cancellation for the end of a paid period starts that period when the subscription actually ends. A billing pause or trial expiry alone does not start deletion.
Current agency administrators can download the supported workspace JSON export while normal access is paused. The final closure export is restricted to the designated verified contact administrator. Keep that account and email current and save your copy before the displayed expiry.
Deletion requires the documented advance notices and at least seven days after confirmed delivery of the final export email. Failed or delayed delivery, an incomplete export, or unresolved authorization or billing checks postpone deletion. Reactivation before deletion cancels the scheduled deletion and the old final-export link.
The workspace purge does not delete every shared sign-in account, financial record, provider-held record, or backup. Those categories and their separate purposes are described in the Privacy and Data retention policies. Contact us from your sign-in address to request closure, correction, deletion, or help exporting records.
Availability and support
Contact [email protected] for help, or use Contact us and Report a bug in the application. Include your agency name, the action you were taking, and the approximate time. We may need to verify your identity and authority before discussing or changing agency records.
In-app support requests are saved for the operator to review. They are not live-chat support, and a reply may be sent to your sign-in email address. Agency chat is a separate conversation among your agency’s members.
Pactlume is an early service. Maintenance, provider outages, or defects may interrupt access, and the pilot does not include a guaranteed uptime or support response time. Features may improve or change, but planned features are not part of the current subscription unless we expressly offer them.
Separate services, including your email provider, linked documents, Stripe Checkout, and the Stripe billing portal, have their own terms and availability. Nothing in these terms excludes a right, remedy, or responsibility that applicable law does not allow us to exclude.
Changes and questions
We identify the effective date above. We will notify affected agencies of material changes through the service or the agency contact email before the changes take effect, except where an urgent legal or security need requires a shorter period. Changes do not retroactively remove rights that have already accrued. Contact [email protected] with questions about these terms or a billing concern.
