YOUR FIRST WORKSPACE

A clear start for your agency.

From your first sign-in to your first follow-up. The pilot includes assisted setup.

Pilot workspaces are created by Pactlume support. Agree on the offer and administrator email first. Signing in alone does not create a workspace or subscription.
  1. Sign in with your invited email

Open Pactlume sign-in, enter the email added to your agency, and open the email link on the same device. If you belong to more than one agency, choose the intended workspace from the menu.

The sign-in link expires after ten minutes and can be used once. Adding someone to an agency does not send an invitation automatically; share the sign-in page with them.

  2. Take the workspace tour

The optional tour explains Overview, Invoices, Follow-ups, Clients, Reports, Activity, and agency chat. Skip or replay it any time from Support & guide. Settings includes Light, Dark, and System appearance options.

  3. Bring in a few invoices

Add an invoice manually or choose Import CSV and use its template. Check the client, invoice number, dates, amount, and payment status in the preview. Save only after the preview is correct. Choose update-existing only when you intend to change matched records.

Start with a small set. Pactlume records your information; it does not connect to your bank or accounting system.

  4. Assign the next step

Record what is holding up payment, assign the teammate responsible, and add a promised payment date when you have one. Use agency chat for updates your whole agency may read.

New agency members can read earlier group messages. Share only information needed for the team’s work.

  5. Review and send a follow-up

Prepare a draft, then check its recipient, outstanding balance, and wording. Approval records your review. Copy or download the approved draft and send it from your own email account. Pactlume does not send invoice reminders automatically.

  6. Record payments and corrections

Check actual receipts against your bank or accounting records, then record a partial or full payment. Refresh a follow-up draft after an invoice changes. Archiving removes an invoice from active work but keeps its record available to restore.

  7. Manage teammates, billing, and data

Administrators manage membership in Settings and should remove access when a teammate leaves. Agency Billing shows the subscription, invoices, payment history, and subscription portal. Ordinary members cannot manage billing or export the whole workspace.

Administrators can download a JSON export even when normal access is paused. Read the Terms, Privacy notice, and data retention policy before subscribing.

  8. Tell us what needs attention

Use Contact us or Report a bug in the workspace, or email [email protected]. Include your workspace name, the action, and the approximate time. Never send passwords, full card numbers, or bank credentials.
