When the 90-day period starts
We retain operational workspace records for at least 90 calendar days after an effective subscription cancellation or a verified permanent workspace closure. For cancellation at the end of a paid period, the clock starts when that paid period ends, not when you request cancellation.
A failed payment, billing pause, separate support suspension, or trial expiry alone does not start this countdown. If a previously paid subscription later ends following failed collection, its effective cancellation does start the period. Contact support to request permanent closure of an agency that has no subscription. We verify that the request is authorized.
Reactivation before deletion cancels the scheduled deletion, remaining notices, and temporary final-export link. A later qualifying closure starts a new retention period.
Notices and the final export
The deletion date is an earliest possible date. Deletion requires all of these safeguards:
- At least 90 days have elapsed after the recorded closure.
- At least 30 days have elapsed after confirmed delivery of the first deletion notice.
- At least seven days have elapsed after confirmed delivery of the final deletion notice.
- A complete final export has been prepared and verified, and at least seven days have elapsed after confirmed delivery of its email.
- The designated contact administrator remains a current administrator with a verified email address, and the retained records and billing state still meet the deletion checks.
Download your copy before deletion
The final email links to a JSON export of the workspace’s supported operational records, including members, active and archived invoices, recorded payments, drafts, activity, agency group messages, trial decisions, and workspace support requests. The export is encrypted while stored temporarily and is not sent as an email attachment.
Exports contain the document links saved in your records, not copies of files hosted by another service. They do not include account sign-in credentials or Stripe-hosted invoice PDFs, and they are not a backup that can restore the entire service. Save external documents separately and use Billing or the Stripe portal to obtain subscription invoices.
Open the link while signed in as the agency’s designated contact administrator. An ordinary member, former administrator, different agency administrator, or product-owner account cannot use that link solely because it has the URL. The authorized administrator can download while normal workspace access is paused.
Save the export securely before its displayed expiry. The temporary export is removed with the workspace, so it is not available after deletion. Confirmed email delivery does not prove that you opened or downloaded it, and a download acknowledgment is not a separate deletion prerequisite.
Reactivation, a change in recipient authority, restarting notices, or replacement of the export can invalidate an earlier link. Follow the newest valid notice or contact support if access fails.
When deletion is postponed
We do not proceed if required email delivery remains unconfirmed, an email fails or bounces, a complete export cannot be prepared or verified, the recipient’s authority cannot be established, or billing cannot be safely verified. Delayed processing or delivery moves deletion later.
If retained records change, a refreshed export and a new confirmed-delivery window of at least seven days are required. Restarting notices provides a renewed warning period of at least 30 days without shortening an existing later deadline. If your data exceeds a supported self-service export limit, contact support for assistance with a complete export; deletion remains blocked until the export safeguards are met.
What is deleted and what is separate
The operational purge removes the workspace, memberships, invoices, drafts, activity, workspace support requests, group messages and read positions, workspace billing associations, retention notices, and temporary final export.
A minimal audit of closure and retention actions remains. Shared authentication accounts, owner administration records, Stripe event receipts, subscription history, necessary financial records, external support correspondence, and provider-held records are outside that workspace purge. They are retained only for their separate administrative, security, dispute, or legal purposes as described in the Privacy notice.
Any hosting backups expire under the provider’s configured retention schedule and are not individually rewritten by the workspace purge. The 90-day period does not promise that every shared account, backup, or Stripe record is erased on day 90. A restoration must account for completed deletion requests before restored records are put back into ordinary service.
Export or close a workspace
Current agency administrators can request an ordinary workspace JSON export from Billing or the paused-access screen. This is separate from the final emailed export. Contact [email protected] from your sign-in email for closure, correction, deletion, or export assistance. Keep the agency’s designated contact and membership details current so notices reach an authorized person.
